Meeting Room Policy




LINCOLN CARNEGIE LIBRARY
MEETING ROOM POLICY

The meeting room is available at no charge to non-profit groups to help serve the community's needs for educational, informational and cultural enrichment. For profit organizations or organizations selling items, are not allowed to use the meeting room.  The only exception is organizations selling items to raise money for the Library.
Meeting room fees are:
$25 refundable deposit if refreshments will be served
$10 for the use of the library’s TV/DVD/VCR

Meetings and programs must be held during the normal operating hours of the library.
Normal operating hours are:
Monday, Tuesday, Thursday & Friday 10 to 1 and 2 to 6
Wednesday 10 to 1 and 2 to 7
Saturday 9 to 12

Library sponsored or co-sponsored meetings and programs take precedence over scheduling meetings for other groups at all times. No purely social functions are allowed in the meeting room. This includes weddings, anniversaries, receptions, funerals, birthday parties, reunions, private parties, pageants, talent or trade shows.
The meeting room is available on a first-come, first-serve basis. Reservations should be
made in advance and can be made up to two months in advance.  Same day scheduling can be done based on availability.

Meetings must not be of a nature that would interfere with the normal business of the library.
Music and noise must be kept at a reasonable level.  Please do not attach anything to the walls,
ceiling or floor.  Solicitation of any person inside/outside the meeting room is prohibited except
for library events.

No tobacco products and no alcoholic products are allowed in the meeting room.  Refreshments such as coffee, tea, soft drinks, snack foods, sandwiches, and deserts may be served, but must remain in the meeting room and cannot be taken to other parts of the Library.   A refrigerator, microwave and sink are available in the meeting room.  Groups must provide their own refreshments and serving containers/utensils, and the group is fully responsible for cleanup.  A $25.00 refundable deposit is required if refreshments are going to be served. Payment for use must be made prior to the meeting.  If a meeting room is left in an acceptable manner, deposits will be refunded within the week following the meeting.  If the organization wishes, the $25.00 can be kept by the Library and used on future meeting room uses.

A TV/DVD/VCR  is available for use in the meeting room for a $10 fee.  Groups are responsible for setting up the TV/DVD/VCR as staff may not be available to assist with the use of the equipment.  Payment for use must be made prior to the meeting.

Wireless internet is available in the meeting room.  The library is not responsible for circumstances that may prohibit connection to the internet.
                                                                                                                                   
Publicity for a meeting held by a non-library group must not be worded in a manner that would
imply sponsorship or endorsement of the group's activities by the Lincoln Carnegie Library.
Granting the use of a meeting room does not imply library approval or endorsement of the
group, the meeting, or the ideas presented at the meeting.  The name, address or telephone
number of the Lincoln Carnegie Library must not be used as the official address or headquarters of an organization or group.

The Lincoln Carnegie Library is not liable for injuries to individuals or for damages to or the loss of personal or organizational property of groups using a meeting room. Failure to abide by any of these rules or to cooperate with Lincoln Carnegie Library staff may result in loss of meeting room privileges.
